About The Position

This is a full-time, 12-month Administrative Assistant position within the Technology Department at MSEAC / FPS District Offices. The role involves performing varied clerical and secretarial duties with a high degree of independent judgment, including complex office duties and delegated administrative details. The position requires exercising discretion, staying informed of District policies, and working independently on responsible and confidential administrative assignments. Operation of an alphanumeric keyboard is an integral part of the essential functions of this job.

Requirements

  • High School Diploma
  • Some college level preparation or advanced training preferred
  • Considerable experience in being responsible for clerical and secretarial work, preferably for an administrator
  • Experience in enterprise class systems to manage devices, users, and data
  • Experience with customer service
  • Experience with financial record keeping and purchasing processes
  • Work twelve (12) months a year
  • Effective oral and written communication skills
  • Considerable knowledge in Business English, spelling, and math
  • Ability to understand and follow oral and written instructions
  • Considerable skill in operation of standard office equipment, especially with computers and software, and excellent keyboarding skills
  • Ability to work effectively with administrators, staff, and patrons of the District
  • Knowledge of modern office practices, procedures, equipment and filing systems
  • Ability to learn and apply the procedures and services of the function to which assigned
  • Ability to keep moderately complex records, to assemble and organize data, and to prepare reports from the records and data compiled
  • High ability to work independently on responsible and confidential administrative assignments and secretarial tasks
  • Regular, dependable in-person attendance on the job to meet time sensitive demands
  • Ability to perform the identified tasks and to possess and utilize the identified knowledge, skills, and abilities to perform the identified work activities
  • Ability to perform the physical requirements of their specific job description
  • Operation of an alphanumeric keyboard is an integral part of the essential functions of this job
  • Skills in human relations and skills in written and oral communication are a must
  • Need visual and auditory acuity

Responsibilities

  • Maintain filing systems and financial records (requisitions, POs, invoices); track orders
  • Receives and screens telephone calls and visitors
  • Assists the director in the performance of his/her duties; answers questions or refers to appropriate parties
  • Arranges and schedules meetings as requested
  • Assists with other district level operations
  • Operate and Manage Copy Shop: time management, workflow, priority of time sensitive jobs, manage supplies, job tracking
  • Prepares agendas for meetings and prepares and distributes meeting notices
  • Acts as a custodian of office documents pertaining to the department
  • Assist with receiving delivery of orders
  • Assist with hardware inventory, unboxing, prep work, and device assignment
  • Assist with id badge creation and manage supplies
  • Performs related work as required
