About The Position

Provide clerical assistance and process order requests for the efficient operation of the campus office. This role involves managing records, correspondence, accounting tasks, substitute coordination, and reception duties to ensure the smooth functioning of the school office.

Requirements

  • High school diploma or GED
  • Proficient keyboarding, file maintenance and 10-key skills
  • Ability to meet established deadlines
  • Effective organization, communication, and interpersonal skills
  • Ability to maintain accurate and auditable records
  • Ability to use personal computer and software to develop or maintain spreadsheets and databases, and do word processing
  • Ability to follow written instructions
  • Ability to operate multi-line phone system
  • 1 year clerical experience preferred
  • Prolonged sitting
  • Occasional bending/stooping, pushing/pulling, and twisting
  • Repetitive hand motions
  • Frequent keyboarding and use of mouse
  • Occasional reaching
  • Occasional light lifting and carrying (less than 15 pounds)
  • May work prolonged or irregular hours
  • Work with frequent interruptions
  • Maintain emotional control under stress

Responsibilities

  • Prepare school communication, correspondence, forms, and schedules as requested.
  • Compile information and prepare reports as needed.
  • Maintain the school calendar of events.
  • Maintain physical and computerized files, including mailing lists, visitor logs, and office communication.
  • Update handbooks, policy manuals, and other documents as needed.
  • Receive, store, and issue supplies and equipment.
  • Prepare and make cash receipts/deposits for activity account(s).
  • Maintain inventory of fixed assets, equipment, and supplies.
  • Assist staff with leave requests and forward to appropriate administrator for approval or assist with use of the substitute system.
  • Maintain the substitute system for leave requests and substitute assignments.
  • Contact substitutes as needed or requested.
  • Check reports daily for any gaps in substitute coverage and address immediately with administration.
  • Schedule meetings and appointments and maintain calendar.
  • Assist students, teachers, and parents as needed.
  • Greet and direct campus visitors. Maintain visitor log and issue visitor passes.
  • Assist parents in checking students in and out of school.
  • Receive incoming calls, take reliable messages, and route to appropriate staff.
  • Assist with coordination of meetings and campus activities.
  • Organize and manage routine work activities of the school office.
  • Receive, sort, and distribute mail, messages, documents, and other deliveries.
  • Assist with preparation of materials for mailing, including preparing labels, stuffing envelopes, etc.
  • Maintain confidentiality of information.
  • Other duties as assigned.
  • Supervise student office aides if assigned.
