About The Position

Thompson & Horton LLP seeks a full-time Administrative Assistant located in Houston to join our team. This position is responsible for providing administrative, marketing, business development, event coordination, and operational support to attorneys and staff across the firm's offices. The ideal candidate will possess excellent communication and organizational skills, demonstrate strong attention to detail, and have the ability to manage multiple projects and deadlines in a fast-paced professional environment.

Requirements

  • Working knowledge of Word, Outlook, Excel, PowerPoint, Adobe.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to multitask and prioritize tasks effectively.

Responsibilities

  • Provide administrative support to assigned firm leadership, including assisting with parking validation and expense reconciliations.
  • Prepare, assemble, and distribute onboarding orientation materials, maintain onboarding checklists, track completion of new hire requirements, and conduct onboarding follow-up.
  • Provide administrative support for marketing and business development initiatives, including maintaining and updating marketing materials, databases, and electronic files, and updating attorney speaking engagements and presentations.
  • Prepare and maintain annual client development budget tracking reports and assist with the preparation and distribution of annual Continuing Legal Education (CLE) reporting forms.
  • Research conferences, educational programs, and sponsorship opportunities, and coordinate conference registrations, hotel accommodations, and travel arrangements.
  • Arrange client dinners, receptions, and networking events held in conjunction with conferences and firm events.
  • Coordinate sponsorship opportunities by obtaining approvals, securing commitments, processing invoices and payment requests, and maintaining sponsorship records.
  • Coordinate firm receptions, client events, and social gatherings, including venue set-up, vendor coordination, and catering.
  • Manage user accounts and registrations for legal research platforms and subscription services, such as Westlaw.
  • Assist with answering and routing incoming telephone calls as needed.
  • Create, maintain, and update firm and management calendars, including firm holiday schedules, employee birthday calendars, conference schedules, and sponsorship dates.
  • Monitor and maintain firm promotional item and branded merchandise inventories, and coordinate the ordering and distribution of promotional materials.
  • Prepare and distribute weekly management and firm calendar updates.
  • Coordinate employee birthday celebrations, monthly staff lunches, and additional office lunches, refreshments, and employee appreciation events.
