Maine Street Solutions, a public affairs and consulting service subsidiary of Verrill LLP, one of Maine's largest law firms, is seeking an Administrative Assistant for our Augusta, Maine office. This role is a full-time, hourly position supporting the government affairs and public relations team, as well as coordinating activities related to associations for Verrill’s clients including the Maine Renewable Energy Association.

Requirements

  • Experience as an Administrative Assistant and/or with trade associations, marketing, communications, public relations, or event planning
  • Advanced computer skills (including Outlook, Word, Excel, and PowerPoint)
  • Exceptional attention to detail, with strong communication, organizational, and project management skills, and the ability to manage multiple priorities effectively.
  • Exceptional client service and team support skills.
  • Proactive approach and a willingness to contribute whenever necessary

Responsibilities

  • Maintaining and updating membership records and databases.
  • Serving as the primary point of contact for member and client communications.
  • Supporting membership recruitment, engagement, and retention efforts.
  • Tracking and collection of membership dues.
  • Planning and coordinating events and member programs.
  • Scheduling and coordinating membership calls and meetings.
  • Managing ethics and lobbying compliance reporting.
  • Assisting with timekeeping, tracking, and data entry.
  • Preparing and distributing print and digital materials related to legislative activities, including testimony, floor documents, and other advocacy materials.
  • Coordinating meetings between team members, legislators, and clients.
  • Running occasional business-related errands (court filings, supplies, etc.)
  • Providing administrative and project support as needed.
  • Handling day-to-day office operations, including: Managing office supplies and equipment (phones, printers, etc.), Processing incoming mail, Coordinating food orders for meetings, Maintaining office space.
