About The Position

The UPPERROOM Academy Administrative Assistant is responsible for the organization’s support. Support is provided through clerical duties such as: maintaining systems, files, programs and calendars. The primary goal of an administrative assistant is to maintain order through clear communication and keeping an organized environment.

Requirements

  • Is an active member of the UPPERROOM family.
  • Submitted to the vision and goals put forth by UPPERROOM Academy Director and UPPERROOM leadership.
  • An excellent communicator and comfortable communicating to UPPERROOM Academy staff, parents and students in spoken or written form.
  • Thinks organizationally and administratively gifted.

Responsibilities

  • Enter, organize, and maintain data while managing systems and reports to support daily operations and help the organization meet its goals.
  • Perform Payroll by collecting hours from staff and submitting to the UPPERROOM Finance Director by the requested time.
  • Process school wide Receipts and reimbursements.
  • Process teacher onboarding paperwork and recruiting paperwork all while working closely with the HR Director of UPPERROOM Dallas.
  • Develop and learn new programs as they become available for the school.
  • Work closely with the UPPERROOM Finance Director to coordinate the transfer of tuition monies, pay of staff, and any donations that come in.
  • Maintain staff files and information, ensuring that they are accurate and up to date.
  • Maintain all student files by keeping all required items up to date and tracking down missing items.
  • Assist in communicating with the Department of Family and Protective Services, the Fire Department, and the Department of Health to ensure compliance with all state and city standards and codes.
  • Receive and respond to emails regarding questions or information needed about UPPERROOM Academy.
  • Purchase supplies and return, if needed.
  • Communicate with the HOCC facilities manager to communicate needs or organize any after-school events.
  • Assist in creating a school calendar each year to include family events, fundraising, assessments, and holidays.
  • Maintain an office environment by keeping it organized and clean.
  • Facilitate staff planning meetings for school events that take place throughout the year.
  • Manage communications and calendar for UPPERROOM Academy Director.
  • Create content and manage the school’s website and social media.
  • Assist the Directors with any other school related tasks that may arise.
