About The Position

The Administrative Assistant will provide comprehensive administrative and operational support to the Human Resources Office, with a primary focus on Employee Relations, Talent Acquisition, employee engagement, HR customer service, and HR projects. The ideal candidate will be highly organized, detail-oriented, professional, and able to handle confidential information with discretion. This position will support day-to-day HR activities while assisting with the implementation of CUNYWork (Workday) and other special projects.

Requirements

  • High school diploma or equivalent required
  • 2+ years of administrative, Human Resources, or office support experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong customer service and interpersonal skills.
  • Ability to work independently while collaborating effectively with HR team members and other departments.
  • Authorization to work in the U.S. is a precondition of employment.

Nice To Haves

  • Additional college coursework or an associate degree in Human Resources, Business Administration, or a related field is preferred.
  • Experience with HRIS, applicant tracking systems, or Workday is a plus.
  • Previous Human Resources administrative support experience.
  • Experience working with confidential employee records or Employee Relations documentation.
  • Familiarity with recruitment and talent acquisition processes.
  • Experience supporting HRIS or enterprise system implementations.
  • Experience with Workday or similar HR systems.
  • Strong Excel and spreadsheet skills.
  • Experience coordinating meetings, training sessions, or departmental projects.

Responsibilities

  • Schedule meetings and coordinate calendars for Employee Relations activities.
  • Maintain confidential employee relations files and records.
  • Prepare correspondence, reports, spreadsheets, and other HR documentation.
  • Organize and maintain case documentation and related records.
  • Respond to routine employee relations inquiries and direct complex matters to the appropriate HR staff.
  • Provide administrative support for day-to-day Employee Relations activities.
  • Ensure sensitive information is handled accurately and confidentially.
  • Assist with recruitment and talent acquisition administrative activities.
  • Monitor recruitment activities and maintain accurate status records.
  • Maintain employment, recruitment, and candidate documentation.
  • Respond to routine inquiries from applicants, employees, and hiring departments.
  • Prepare correspondence, reports, spreadsheets, and recruitment-related materials.
  • Assist HR staff with employee engagement and talent-related initiatives.
  • Monitor shared Human Resources email inboxes and respond to routine inquiries.
  • Route questions and requests to the appropriate HR staff member.
  • Provide timely and professional customer service to employees, applicants, and departments.
  • Maintain tracking logs and follow up on outstanding requests as needed.
  • Assist with general HR administrative inquiries and requests.
  • Assist with data validation and review HR information for accuracy and completeness.
  • Support process documentation and maintain implementation-related materials.
  • Assist with training coordination and preparation of training materials.
  • Provide testing support for CUNYWork (Workday) implementation activities.
  • Assist with data review, documentation, and other HR technology implementation tasks.
  • Support additional HR projects associated with the Workday implementation.
  • Prepare reports, spreadsheets, presentations, correspondence, and other documents.
  • Assist with HR special projects and departmental initiatives.
  • Maintain organized electronic and paper records.
  • Provide general administrative support to the Human Resources Office.
  • Perform other duties and responsibilities as assigned.
