This position requires a minimum of four days per week in the West Los Angeles office.

Requirements

  • Strong work history with a minimum of five (5) years of experience as an administrative assistant or in executive level support.
  • A high level of personal integrity and professional ethics.
  • Professional demeanor with the ability to communicate confidently and effectively with partners, clients, internal teams, and external advisors.
  • Excellent written and verbal communication skills, including strong proofreading, editing, and formatting capabilities.
  • Ability to thrive in a deadline-driven, high-volume environment with shifting priorities.
  • Exceptional organizational skills and attention to detail.
  • Ability to prioritize and manage multiple projects, work quickly and efficiently under pressure.
  • Highly developed skills with Microsoft Office including Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
  • Strong interpersonal skills; a team player.
  • Forward-thinking self-starter with the ability to anticipate needs, take initiative, ask appropriate questions, and follow through independently.
  • Flexible, proactive, and solutions-oriented, with a positive “can-do” attitude.
  • Ability to work onsite in the West Los Angeles office four days per week.

Nice To Haves

  • Background in Legal, Financial, or Accounting industries preferred.

Responsibilities

  • Prepare, format, and proofread presentations, proposals, engagement letters, client correspondence, procedural documentation, and workflow materials.
  • Serve as a liaison between partners and internal/external contacts, handling confidential client and firm information with discretion and sound judgment.
  • Support client onboarding and maintenance, including preparation of engagement letters, billing reports, and invoicing.
  • Support business development efforts, including formatting proposals and assembling bios and client correspondence.
  • Maintain knowledge of firm policies and procedures; respond to, refer, or direct incoming requests and inquiries as appropriate.
  • Monitor tax return status, key deadlines, and outstanding documentation; communicate follow-up items to partners, staff, and clients.
  • Manage calendars, scheduling, and meeting coordination across internal and client stakeholders.
  • Perform general administrative tasks including filing, travel and expense reporting, and phone support.
