About The Position

The incumbent will serve as a receptionist and, when needed, as a substitute teacher in classrooms serving children 3 months to 5 years. The position includes a wide range of clerical and administrative duties while providing teacher and administrative support to the FEC. This role requires the ability to meet the unique developmental and learning needs of young children in a nurturing manner, respecting their individual differences and learning styles. The ideal candidate will possess a calm, patient, and caring demeanor, along with flexibility, creative problem-solving skills, and a positive attitude. Strong interpersonal skills, the ability to practice diplomacy, maintain confidentiality, and consistently exhibit professionalism are essential. Excellent oral and written communication skills, along with the ability to organize, prioritize, and successfully complete tasks in a busy work environment, are also crucial. The role demands the ability to use independent judgment to accomplish projects and assignments and competence with computers, including databases, the Internet, spreadsheets, college and program tools and systems, and Microsoft Office Suite. Fingerprint clearance or the ability to obtain clearance is required, as is Infant/child CPR and First Aid certification.

Requirements

  • High school graduate or GED equivalency.
  • Minimum of two years of general office, clerical, and bookkeeping experience.

Responsibilities

  • Monitor the security entrance, greet parents and children, and identify and direct visitors.
  • Answer telephone calls, review FEC emails and parent communications, and disseminate messages.
  • Update and maintain information in child care management software.
  • Provide resource and referral information.
  • Maintain and update required records and files pertaining to children, staff, and families.
  • Assist with administrative paperwork for accreditation, licensing processes, and other program renewal applications.
  • Maintain program calendars and documentation related to licensing, food service, quality improvement, and other regulatory compliance.
  • Maintain and update staff training records.
  • Take inventory, organize supplies, and identify needed supplies.
  • Submit college requests, including work orders and room reservations, and serve as a liaison with other YC departments.
  • Review and update waiting lists, complete data entry, and assist with child enrollment.
  • Schedule student observations and lab times.
  • Lead tours of the center.
  • Perform health, safety, and housekeeping duties as needed throughout the center and classrooms.
  • Provide administrative support and perform other duties delegated by the director.
  • Plan and communicate to support successful daily operations of the child care and lab school in alignment with national and state standards.
  • Substitute in classrooms as needed by maintaining a safe, stimulating, age-appropriate learning environment; assisting with room setup, caregiving routines, small-group activities, record keeping, and housekeeping; and interacting with children in ways that promote social/emotional, physical, and cognitive development.
