This important position will support the VP/Chief Sustainability and Social Impact officer and two Senior Directors. In this role, you will be a critical team member and will perform a wide variety of specialized and administrative functions. You must possess strong organizational and communication skills and demonstrate a proven track record of getting results. This role will report directly to VP/Chief Sustainability and Social Impact officer. As a key member of the Sustainability and Social Impact team, the Administrative Assistant will embody and promote our commitment to inclusion and service. Requirements

  • 5+ years in executive support, office management, or similar roles
  • Experience with travel coordination and expense processing
  • Strong multitasking, organization, communication, and project management skills
  • Proficiency using Microsoft 365 tools (Teams, Outlook, Co-Pilot, collaboration features) to streamline executive support and improve coordination.
  • Curious and proactive about learning new tools and technologies
  • Polished, professional, proactive, and detail-oriented
  • Strong communication, project management, and critical thinking skills
  • Reliable, results-oriented, and able to anticipate needs
  • Comfortable working in a fast-paced environment
  • Comfortable working with senior leadership and managing confidential information

Responsibilities

  • Provide high‑level, proactive administrative support to a senior executive, including complex calendar management, meeting coordination, and day‑to‑day prioritization for Vice President and both Senior Directors.
  • Anticipate executive needs, manage competing priorities, and operate independently with minimal direction in a fast‑paced environment.
  • Serve as a trusted partner by exercising sound judgment, discretion, and professionalism at all times.
  • Manage and coordinate logistics across Vice President and Senior Directors while ensuring accuracy and follow‑through.
  • Demonstrate exceptional organizational, time‑management, and multitasking skills to ensure deadlines and deliverables are met.
  • Oversee monthly and weekly meetings, managing event logistics, agenda creation when needed, attendee experience, and communication.
  • Coordinate travel (domestic and international) arrangements and logistics including itinerary building and expense report processing.
  • Act as primary liaison between Vice President, Senior Directors, other departments and suppliers; ensuring effective communication of messages, priorities and directives
  • Process invoices and vendor contracts in a timely manner, including issue tracking and resolution
  • Support department-wide communications through emails, Teams messaging, and webcast support
  • Maintain distribution lists and facilitate information sharing
  • Maintain on‑site presence that aligns with the VP’s schedule, ensuring in‑office availability during leadership’s core hours and key on‑campus commitments to provide timely, real‑time administrative support.
