Requirements

  • High school diploma or equivalent.
  • 1–5 years of progressively responsible administrative experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Experience maintaining databases, records, and administrative systems.
  • Ability to prepare reports, summarize information, and support data-driven decision making.
  • Experience processing invoices, accounts payable documentation, and vendor records.
  • High attention to detail and commitment to accuracy.
  • Ability to work independently while contributing positively to a collaborative team environment.
  • All applicants must be legally entitled to live and work in Canada.

Nice To Haves

  • Canadian Certified Administrative Professional (CCAP), or Administrative Information Management Diploma considered an asset
  • Municipal experience is considered an asset.
  • An interest in environmental stewardship, sustainability, waste reduction, and/or utility services is highly desirable.
  • An equivalent combination of education and experience may be considered.

Responsibilities

  • Acting as the first point of contact for customer inquiries related to waste and recycling and stormwater services.
  • Preparing and editing correspondence, reports, presentations, agendas, and meeting materials.
  • Coordinating schedules, meetings, and administrative activities for the Utilities team.
  • Maintaining electronic and physical filing systems, records, contracts, and compliance documentation.
  • Processing invoices, purchase orders, payment requests, and vendor documentation.
  • Supporting data collection, tracking, and reporting for waste diversion, Eco Centre operations, Extended Producer Responsibility (EPR) programs, and other departmental initiatives.
  • Assisting with procurement activities, contract administration, and vendor coordination.
  • Maintaining waste and recycling databases, service schedules, and delivery records.
  • Supporting public education and community outreach initiatives, including events, communications, and promotional activities.
  • Assisting with website updates, public information materials, and social media content related to Solid Waste & Stormwater programs.
  • Providing administrative support across Utilities services, including Water and Wastewater, operations as required.

Benefits

  • The salary for this position is between $37.76/hr and $41.44/hr and is based on a 35-hour work week.
