This position is vital in supporting our operations by managing customer service requests, scheduling appointments, preparing and maintaining documentation, and assisting with billing processes. Requirements

  • High school diploma or equivalent; additional education or training in administrative support or customer service is a plus.
  • 1-2 years of experience in an administrative, dispatcher, customer service, or clerical role, preferably in a service-oriented industry.
  • Exceptional organizational skills, with the ability to prioritize tasks, meet deadlines, and adapt to changing circumstances.
  • Strong written and verbal communication skills, with the ability to interact professionally with both team members and customers.
  • Proficiency in Microsoft Office programs, particularly Excel and Outlook, with the ability to learn new software applications quickly.
  • High attention to detail and accuracy in managing schedules, data, and documentation.
  • Ability to work independently, think critically, and solve problems effectively in a dynamic environment.
  • Excellent customer service skills, both over the phone and in written communication.

Responsibilities

  • Coordinate and schedule appointments for customers and service technicians, ensuring efficient use of resources and attention to detail.
  • Communicate with customers about service request status, updates, delays, or billing inquiries.
  • Support invoicing processes by ensuring work orders are accurate and complete.
  • Verify employees’ hours worked and maintain accurate records.
  • Perform general administrative tasks, including answering phones, responding to emails, and maintaining service records.
  • Collaborate with team members to meet deadlines and ensure smooth workflows.
  • Handle other duties as assigned to support the department’s efficiency and success.
