About The Position

USA Volleyball (USAV) is seeking an Administrative Assistant for the Safe Sport initiative. This is a temporary, full-time, one-year position reporting to the Director, Safe Sport. The role is responsible for organizing and preserving historical records, ensuring case documentation and archival materials are accurately maintained and accessible. Key duties include managing chain-of-custody notifications, updating member eligibility status, and processing case closure notices. The position requires a commitment to fostering inclusion, safety, and collaboration, upholding integrity, humility, and professionalism. Extended hours, including nights, weekends, and holidays, may be necessary. This position can be based in any USAV office or a remote location.

Requirements

  • Ability to maintain strict confidentiality of sensitive information.
  • Strong organizational skills with attention to detail.
  • Ability to work independently or on a team.
  • Working knowledge of Microsoft Office Suite (Excel, Word, and Outlook).
  • Ability to prioritize competing tasks.
  • Must be able to successfully pass a USAV background screening (prior to hire date).
  • Must successfully complete Safe Sport training within two weeks of hire date. Training must be maintained throughout employment.

Nice To Haves

  • Experience with data analysis and running pivot tables is preferred.

Responsibilities

  • Maintain, catalog, and update historical data files, ensuring accuracy and completeness of the Safe Sport archive.
  • Construct and organize case spreadsheets and related records as part of archive protocols.
  • Manage chain-of-custody notifications and documentation in accordance with Safe Sport procedures.
  • Update eligibility status in the member management system and process notices of case closure in a timely and accurate manner.
  • Complete filing, documentation, and information-sorting tasks to support case management operations.
  • Monitor the Safe Sport email inbox, triaging and forwarding inquiries to the appropriate staff member.
  • Answer incoming calls from the National Office call line and route them to the relevant Safe Sport staff member.
  • Provide additional administrative support to Safe Sport staff as needed.
  • Perform other duties and projects as assigned.
