About The Position

The Administrative Assistant/Registrar works closely with the Campus President to perform a variety of administrative and clerical duties necessary to run the Campus efficiently. This role is responsible for building and scheduling the academic programs and educational services delivered at the campus level, as well as maintaining all student transcripts and academic records. The position requires close collaboration with the Dean and campus staff.

Requirements

  • Experience in inputting attendance data.
  • Experience in administering course evaluations.

Responsibilities

  • Coordinate and facilitate meetings, including arranging meetings, conferences, special events, and luncheons for the Campus President.
  • Prepare necessary materials for meetings and distribute meeting minutes.
  • Assist with making travel arrangements when necessary.
  • Manage the Campus President's calendar of events and assist with scheduling and planning.
  • Oversee the administration of the Campus President's office.
  • Maintain student transcripts and academic records for both incoming and graduated students.
  • Create memorandums and other forms of communication for staff distribution.
  • Assist with new hire processing and electronic onboarding.
  • Monitor and track employee time in the time-keeping system.
  • Act as a liaison between the Campus and Human Resource Department.
  • Determine the need for transcripts of incoming students (high school/college) and request or work with student prospects to acquire them.
  • Research and evaluate degree-granting institutions for legitimacy and conduct background checks when required.
  • Review entrance requirements and evaluate proof of identity for incoming students.
  • Make preliminary determinations for acceptance and forward to the Dean.
  • Meet with students to resolve documentation issues and review consent-release forms.
  • Maintain Southeastern College transcript records and graduate files.
  • Review student/graduate requests and clear requests with the Bursar.
  • Build classes in the C2K system according to the Campus Wheel (master scheduling document).
  • Meet with students to determine scheduling issues and any accommodations.
  • Create general education and program schedules for individual students.
  • Review program wheels, assess student general education requirements, and assess any student transfer credits.
  • Schedule re-entries and monitor and reconcile drops/withdrawals.
  • Distribute admit/drop slips to faculty.
  • Monitor international students' status on a monthly basis.
  • Monitor progress of internal and Campus-wide projects, ensuring deadlines are met and enforced.
  • Review and track completed tasks and assist with the implementation of projects.
  • Screen calls and visitors to the Campus President's office, greet visitors professionally, and conduct research and respond to requests for information.
  • Routinely respond to complaints and ensure they are addressed by the Campus President.
  • Maintain confidential and sensitive information.
  • Provide support as required to problem-solve and discuss concerns.
  • Prepare and print rosters daily and distribute to faculty.
  • Distribute change of status notifications to Faculty.
  • Collect and input attendance daily into C2K system (or twice daily depending on campus size).
  • Build, proctor, and input course evaluation surveys.
  • Input pre-post test scores for each course.
  • Input final course grades and grade changes.
  • Post final grades.
  • Review serious student concerns/complaints.
