About The Position

The Administrative Assistant/Receptionist is the first point of contact for the Parish office, greeting parishioners, ministry volunteers and visitors. This role is responsible for creating an atmosphere of teamwork and cooperation among volunteers and parish staff.

Requirements

  • Administrative Assistant, Receptionist or experience in similar role for at least 1 year.
  • Basic understanding of Catholic Teachings and Scripture.
  • Must possess strong computer skills and knowledge of Microsoft Word, Excel, Power Point, Publisher, and various social media platforms.
  • Professional communication skills both written and verbal.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Ability to organize, multitask, and prioritize.
  • Friendly, hospitable, and excellent interpersonal skills.
  • Demonstrate discretion, confidentiality, integrity and honesty.
  • Demonstrates attention to detail and thoroughness.
  • Ability to be flexible and cooperative.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Responsibilities

  • Assisting with new parishioner registrations, mass cards and other administrative duties as required.
  • Serve parishioners, volunteers and visitors by greeting, welcoming and directing them appropriately.
  • Answer, screen, and direct incoming phone calls while providing basic information to all callers in a compassionate, friendly way.
  • Receive, sort, and distribute daily mail and packages to staff.
  • Answer general questions in e-mail, and forward inquiries to appropriate staff member.
  • Perform other clerical duties such as filing, photocopying, creating ministry reports.
  • Other duties as assigned.
