About The Position

The purpose of this position is to provide administrative support and assistance to executive staff for the City of Spartanburg and is responsible for providing assistance with administrative duties identified as customer service in greeting citizens, answering phone calls and giving accurate information, data entry, report writing, budget monitoring, and department liaison with other departments.

Requirements

  • High school diploma, GED, or equivalent certificate of competency.
  • Three (3) years of experience or an equivalent combination of education, training and experience.

Responsibilities

  • Prepares and edits correspondence, communications, presentations, and other documents.
  • Designs and maintains databases.
  • Files and retrieves documents and reference materials.
  • Conducts research, collects, and analyzes data to prepare reports and documents.
  • Manages and maintains executives' schedules, appointments, and travel arrangements.
  • Arranges and co-ordinates meetings and events.
  • Records, transcribes, and distributes minutes of meetings.
  • Monitors, screens, responds to communications, and distributes incoming communications.
  • Answers and manages incoming calls.
  • Receives and interacts with incoming visitors.
  • Reviews, prepares, and enters information into the system.
  • Analyzes information, updates, and creates spreadsheets for departments.
  • Prepares various files, records, and documents.
  • Performs related work as assigned.
  • Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.
