About The Position

Seeking an experienced Administrative Assistant to provide onsite support for managers and directors during a 5-month assignment. The ideal candidate will be highly organized, possess exceptional written and verbal communication skills, and have demonstrated experience managing calendars, coordinating meetings and events, and supporting departmental operations. May provide backup support to higher-level management as needed. This is only a temporary role with no possibility to convert to a full-time employee (FTE).

  • Microsoft Outlook (advanced calendar management)
  • Microsoft PowerPoint (presentation creation and formatting)
  • Microsoft Excel (tracking, reporting, and basic analysis)
  • Microsoft Word and other Microsoft Office applications

Nice To Haves

  • Previous Administrative Assistant, Executive Assistant, Office Coordinator, or similar experience
  • Experience with internal communications
  • Scheduling and calendar management for multiple stakeholders
  • Event planning and coordination, including larger employee events (e.g., picnics, town halls, team meetings)
  • Project coordination and timeline management
  • Employee onboarding and office setup support
  • Experience with travel and expense management systems preferred

Responsibilities

  • Manage calendars, meetings, and travel arrangements
  • Coordinate onsite and virtual meetings, events, and departmental activities
  • Prepare presentations, correspondence, and business documents
  • Process expense reports and support budget tracking activities
  • Support onboarding and office setup for new employees
  • Handle confidential information with discretion
  • Serve as a key point of contact for scheduling and administrative support
  • Help organize larger employee engagement events such as company picnics and team gatherings
