About The Position

Glen Raven is recruiting for an Administrative Assistant - Part Time to provide administrative and organizational support to the management team of Material Solutions Group (MSG) a division of Glen Raven. This position helps ensure daily business activities run smoothly by coordinating schedules, managing communications, organizing information, and providing general administrative support. The role requires strong organizational skills, attention to detail, professionalism, and the ability to handle confidential information appropriately. This is a part-time position, roughly 20 hours per week

Requirements

  • High school diploma or equivalent required.
  • Associate degree preferred.
  • Three to five years of administrative support experience preferred.
  • Experience supporting a manager, department leader, or business function preferred.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Ability to work independently and exercise good judgment.
  • Ability to maintain confidentiality and professionalism.
  • Strong customer service and interpersonal skills.

Responsibilities

  • Provide administrative support to the President of MSG.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Answer, screen, and direct phone calls and emails as needed.
  • Maintain organized electronic and paper filing systems.
  • Coordinate document reviews, approvals, and signatures.
  • Schedule and organize meetings, including meeting logistics and materials.
  • Prepare agendas and distribute meeting materials.
  • Record meeting notes and track follow-up items when requested.
  • Coordinate conference rooms, virtual meeting arrangements, and related resources.
  • Arrange business travel including transportation, lodging, and itineraries.
  • Prepare and submit expense reports and supporting documentation.
  • Maintain travel records and schedules.
  • Serve as a point of contact for internal and external inquiries.
  • Coordinate information and communication between departments and business partners.
  • Assist with preparing routine communications and announcements.
  • Support special projects and administrative initiatives as assigned.
  • Maintain accurate records, reports, and administrative documentation.
  • Compile data and prepare routine reports.
  • Ensure confidential information is handled appropriately and securely.
  • Order and maintain office supplies and materials as needed.
  • Assist with planning and coordinating meetings, events, and visitor activities.
  • Support departmental administrative processes and workflow coordination.
  • Perform other administrative duties as assigned.
