About The Position

This position provides administrative and clerical support for the Nursing Emergency Room. The role involves coordinating various administrative tasks, managing communications, maintaining records, and assisting with special projects to ensure the smooth operation of the department. The applicant must possess a valid, unrestricted, insurable driver's license and submit a resume and references.

Requirements

  • Two (2) years of direct work experience
  • Associate’s Degree in Business Administration or related field from an accredited school or two (2) years additional direct work experience.

Responsibilities

  • Coordinate a variety of administrative clerical support activities to facilitate and expedite administrative and clerical priorities of the office.
  • Screen calls and visitors, refer to appropriate staff members, and forward only those calls or visitors requiring their attention.
  • Respond to inquiries for general information; complete copier projects, mail handling, and supplies control.
  • Receive and route mail to appropriate offices for action.
  • Take full responsibility to ensure timely reply or action; secure and furnish information required by higher-level management relative to action required or taken.
  • Review outgoing correspondence, verify for signature of approval, including proper format, and determine if it conforms to established processes.
  • Retrieve, assemble, and summarize information as required from files and documents as requested.
  • Coordinate meeting logistics, including making reservations for meeting rooms, opening locked areas, and notifying all participants.
  • Initiate and maintain records for all educational courses offered, sign-up/sign-in, and evaluations.
  • Read all incoming correspondence and determine proper action. Review outgoing correspondence and reports for proper formatting, mathematical and grammatical correctness and content, and ascertain that all necessary coordination of facts have been completed and in accordance with established policy.
  • Provide clerical and administrative support for Nursing Staff monthly meetings by communicating meeting dates and times, creating minutes, staff appointments, and other pertinent material.
  • Organize and maintain educational files and records, manuals, handbooks, and other related materials.
  • Maintain personnel listings of all Division employees and other departmental record keeping such as licensure requirements, and the maintenance of nursing competency files under the direction of the Clinical Educator/Nurse Executive.
  • Establish and maintain a tracking system on commitment records and the budget allotted for equipment purchases, travel expenditures, training expenditures, and supply purchases and record expenses. Check accuracy, update records, and check status of funds to assure funds are available to cover transactions.
  • Act as the project manager for special projects, at the request of reporting supervisor, which may include planning and coordinating multiple presentations, disseminating information, and organizing events for the department of Emergency Department.
  • Complete all yearly Center for Medicare and Medicaid Services (CMS) required training by the indicated due dates.
  • Assist, promote, and support compliance with established CMS standards.
  • Perform other duties as assigned.
