About The Position

The Administrative Assistant/Licenced Sales Associate is responsible for supporting advisors and branch personnel in the servicing of current clients and the development of new clients. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude to fill this position. To be successful, the Administrative Assistant/Licenced Sales Associate must be professional and attentive, while also being accurate. They should be prepared and responsive, willing to meet each challenge directly. The Administrative Assistant/Licenced Sales Associate must be comfortable with mutual fund, segregated fund, GIC, and Insurance products, confident with computers, and excel at both verbal and written communication. Most importantly, somebody who is willing to go the extra mile for the company and the client, taking pride in one’s work.

Requirements

  • College diploma in a related field
  • A minimum of one year of relevant experience
  • Beginner experience in the Financial Service industry
  • CIFC and LLQP
  • Advanced knowledge of Investments products
  • Advanced knowledge of Microsoft 365, word, excel, power point
  • Action oriented, Collaborates, Communicates effectively, Customer Focus, Differences, Nimble learning, Plans and aligns, Situational adaptability

Responsibilities

  • Ensure satisfactory resolution of client inquires, coordinating responses with other departments as necessary.
  • Answer and respond to phone calls and e-mail communications.
  • Prepare documentation for investment transactions such as Purchase, Redemption, Switch, and Transfers for mutual fund, segregated fund, and GIC products.
  • Complete mutual fund, segregated Fund, and GIC processing by branch cut-off time.
  • Provide new business support for insurance, including Life, DI, and CI.
  • Obtain in-force insurance policy information and statements as needed by advisors and clients.
  • Conduct a regular review of pending activity and outstanding business and escalate as required.
  • Attend regular meetings with advisor and review client records for client meeting preparation.
  • Coordinate contact with clients, such as arranging appointments, mass communications, and recording using CRM.
  • Prioritize and organize workflow.
  • Maintain and review documents for accuracy.
  • Maintain Client Records Management (CRM).
  • Support advisors’ marketing initiatives, implement and track as needed.
  • Adhere to a high service level standard.
  • Work in conjunction with compliance department to ensure compliance regulations are followed.
