About The Position

We are seeking an administrative professional to support the Legal team. This individual will be based out of 30 Hudson Yards and will report into the Vice President. Responsibilities include, but are not limited to: Managing calendar(s) with the ability to anticipate calendar conflicts, prioritize meetings and handle last-minute changes. Booking travel and accommodations, as needed. Preparing and processing expense reports. Coordinating and ordering supplies. Managing the legal invoice process, including tracking all legal invoices received, facilitating internal review and approval, communicating revisions with outside counsel, submitting approved invoices for processing and payment, and liaising with accounting and outside counsel to support timing processing and payment. Requirements

  • Bachelor’s Degree is required.
  • Minimum of 2+ years of administrative assistant experience working in a corporate/legal environment.
  • Experience using a high level of discretion, dealing with highly confidential data and information.
  • Must have a high level of professionalism and maturity.
  • Strong verbal and written communications skills.
  • Strong time management and organizational skills.
  • Must be a team player and be detail-oriented.
  • Proficient in Microsoft Outlook; strong knowledge of MS Word, Excel, PowerPoint.
  • Ability to work with a wide range of levels and management.
  • Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily and prioritize.
