About The Position

The Administrative Assistant & IT Support for the Physician Assistant Program works closely with the Program Director, Associate Program Director, Academic Coordinator, Clinical Coordinator and Program Administration to help orchestrate all phases of the Program. This role provides essential administrative and IT support to ensure the smooth operation of the program.

Requirements

  • Ability to manage multiple and varied tasks with frequent high levels of urgency or sensitivity.
  • Ability to work collaboratively and effectively with colleagues in a team environment.
  • Good interpersonal skills, both written and oral.
  • Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook.
  • Ability to lift 10 lbs.

Nice To Haves

  • Recommended experience in administrative and/or IT support (willing to train qualified candidates).
  • Associates Degree recommended.

Responsibilities

  • Provides administrative support to the PA Program, including scheduling instructors, communicating availability, creating and updating student calendars, coordinating committee meetings, and assisting with general correspondence, surveys, funding applications, and appointment scheduling.
  • Prepares materials for distribution to students, such as examinations.
  • Assists with proctoring exams and setting up Zoom for virtual and in-person classes.
  • Performs light office housekeeping, such as picking up mail and occasionally helping with setting up tables and chairs.
  • Assists with prepping for meetings and events.
  • Preps and maintains loaner laptops for student exams.
  • Assists the Academic Coordinator with reformatting study materials to be compliant with Panorama requirements.
  • Assists with Canvas-related materials, including PowerPoints and files.
  • Organizes and maintains student files (academic/clinical, correspondences), course lecture material, and assessments.
  • Updates Syllabi when necessary.
  • Maintains and creates test files for Examsoft, PAEA, and End of Rotation Exams.
  • Collaborates with the IT Asset Manager to maintain the IT equipment inventory and coordinate repairs, replacements, and asset assignments.
  • Acts as the main point of contact for vendor visits and coordinates IT-related facility issues.
  • Compiles documentation of common problems and their solutions for location-specific reference.
  • Delivers essential IT support by handling password resets, managing accounts, and providing basic troubleshooting for staff and students.
  • Manages and updates AV equipment in classrooms and conference rooms, providing basic knowledge on system operation.
  • Assists users in navigating knowledge base articles and utilizing self-service resources.
  • Attends IT training sessions to stay proficient in creating detailed helpdesk tickets and escalating issues within IT as necessary.
  • Handles typing and filing of correspondences, meeting minutes, examinations, evaluation forms, and lecture outlines.
