About The Position

ChristianaCare is seeking an experienced Administrative Assistant III to support the General Manager and leadership team within the Food & Nutrition Services Department on Newark Campus. In this highly visible role, you will provide advanced administrative, financial, and operational support while coordinating multiple projects and serving as a key resource for managers, employees, and external partners. The successful candidate will possess strong organizational skills, exceptional attention to detail, and the ability to effectively manage competing priorities while maintaining a high level of professionalism.

Requirements

  • High School Diploma or GED
  • Strong administrative support experience
  • Proficiency with Microsoft 365 applications, including Word, Excel, Outlook, Forms, Planner, and Teams
  • Excellent organizational, communication, and customer service skills
  • Ability to manage multiple priorities and deadlines in a fast-paced environment

Nice To Haves

  • Four years of administrative experience
  • Experience with Workday, Kronos Dimensions, SharePoint, financial reporting, budgeting, and project coordination
  • Previous healthcare experience
  • Experience with Sodexo systems such as CaterTrax and Birchstreet

Responsibilities

  • Prepare and maintain departmental financial reports, statistics, and benchmarking data.
  • Assist with operational and capital budget planning and create capital projects in Workday.
  • Process vendor payments and manage contract documentation.
  • Administer Kronos Dimensions and contractor timekeeping systems, including reporting and supervisor training.
  • Coordinate department projects, meetings, events, and action items to support operational goals.
  • Prepare meeting agendas, correspondence, reports, and meeting minutes.
  • Manage calendars, schedules, travel arrangements, and office operations.
  • Support recruitment and onboarding activities, including interview scheduling, orientation coordination, and new hire processing.
  • Maintain employee records and ensure compliance with organizational, regulatory, and accreditation requirements.
  • Monitor mandatory education compliance and provide reporting to leadership.
  • Maintain departmental SharePoint and collaboration sites and support process improvement initiatives using Microsoft 365 tools.
  • Serve as a resource for employees regarding Workday, benefits, and administrative inquiries.
  • Perform additional duties as assigned.
