About The Position

The Administrative Assistant plays a key supportive role by providing support to managers, other, and varying office visitors by handling a variety of tasks. The Administrative Assistant must be professional, positive, self-starter, organized, and accurate. This position will include scheduling meetings/events, data entry, credit card reconciliation, travel coordination and maintaining files.

Requirements

  • High school Diploma/GED or Associate’s in Business Administration or related field
  • 3-5 years experience in administrative assistant experience
  • High level of accuracy in written communication
  • Meeting Coordination and Note taking

Nice To Haves

  • Microsoft Office Specialist Certification (preferred)

Responsibilities

  • Manage and coordinate General Managers and Project Directors project schedules, calendars, and meetings (including agendas and meeting notes).
  • Manage special projects and workflow; meet target due dates.
  • Review, proofread, and prepare routine correspondence and documents (letters, memos, reports).
  • Handle confidential materials and communications with professionalism and discretion.
  • Maintain organized filing systems for critical executive and company documents.
  • Arrange and coordinate domestic travel.
  • Plan and coordinate meetings, events, and related logistics.
  • Prepare expense reports, reconcile company credit cards, and perform account reconciliations.
  • Provide superior customer service to internal and external customers.
  • Perform heavy data entry (e.g., timecards, field reports, labels) and maintain accurate records.
  • Create, maintain, and manage Excel spreadsheets and other administrative tracking tools.
  • Maintain office and facilities operations, including coordinating general administrative needs.
  • Prepare, track, and manage permits and inspections; perform occasional travel to permitting offices as required.
  • Provide general administrative support to managers and project teams; perform additional duties as assigned.

Benefits

  • Salary range for this position is $65,000-$75,000 annually.
