About The Position

This position is for an Administrative Assistant II within the Department of State, Division of Library and Information Services, Bureau of Library Development. The role involves providing administrative support for the Bureau's consulting services, preparing various documents, managing files, assisting with meetings and workshops, and supporting procurement and travel processes. Requirements

  • High school diploma or equivalent.
  • Three years of administrative support or clerical work experience.
  • Experience in using personal computers, including word processing, spreadsheet and database software.
  • Experience in creating, filing, entering or tracking data.
  • Experience managing files or records.
  • Knowledge and ability to use personal computers, including word processing, spreadsheet and database software.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to organize work assignments.
  • Ability to work effectively in an environment with regular interruptions.
  • Experience in creating, filing, entering or tracking data.
  • Experience managing files and records.

  • Experience using the state procurement management system.
  • Experience preparing state travel authorizations or reimbursements.

Responsibilities

  • Initiates, plans and independently implements activities necessary to support the Bureau of Library Development's consulting services, including effective and efficient use of computer hardware and software programs.
  • Prepares reports, workshop materials and correspondence; creates, organizes and maintains paper and electronic files and records; independently organizes work for maximum efficiency; maintains effective communication with all Bureau staff; assists in planning and implementing meetings, workshops and conferences; and prepares general requisitions.
  • Responds to requests for information by surface mail, electronic mail, telephone, fax and in person, referring requests to other staff, as appropriate.
  • Works in a team environment within the Bureau to support Bureau and Division programs and services.
  • Assists with implementing special Department, Division and Bureau activities.
  • Assists Division staff with procurement following Division, Department and State of Florida processes and procedures.
  • Arranges travel and prepares travel documents and forms at the direction of Division staff.
  • Performs other related duties as required.
