About The Position

As a team member of the Office of Ethics and Compliance, the Administrative Assistant II will provide general office support by answering the office phone lines, handling walk-in and appointment traffic, and general office maintenance tasks. This role may handle details of a highly confidential and critical nature, maintaining discretion with sensitive information related to department meetings and strategic planning. The position is full-time and located onsite.

Requirements

  • 3+ years of experience working in a fast-paced office environment
  • Experience supporting an administrative level position
  • Excellent and detail-oriented communication and organizational skills
  • Proficient knowledge and use of Microsoft Word, Excel, PowerPoint and Outlook
  • Ability to articulate and defend the unique Christian educational mission and vision of Liberty University and its subsidiaries to a wide variety of individuals and groups
  • Individual must not be in default on any federal student or parent loan.
  • Individual must not be convicted of, or pled nolo contendere or guilty to, a crime involving the acquisition, use, or expenditure of federal, state, or local government funds, -or- be administratively or judicially determined to have committed fraud or any other material violation of law involving federal, state, or local government funds (CFR 668.14(b)(18)(i)).
  • High school diploma
  • To obtain LU-approved driver certification, individuals must be 21 years of age or older, possess a valid driver's license with a minimum of five (5) years of documented driving history, and maintain a clean driving record.

  • Bachelor’s degree in a business-related discipline

Responsibilities

  • Greet guests, answer phone calls and redirect them when necessary
  • Provides administrative support to Executive Director of Equal Rights/Title IX, scheduling appointments and meetings.
  • May handle details of a highly confidential and critical nature.
  • Maintains discretion handling highly confidential and critical information related to department meetings, strategic planning, etc.
  • Copying and scanning documents
  • Document delivery, pick up and organization
  • Manage/distribute incoming mail and deliveries
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Reconcile P-card statements, prepare expense reports
  • Monitor/manage breakroom supplies. Ensure orderliness of breakroom
  • Manage conference room schedule
  • Assist with scheduling meetings and events
  • Assist with training/travel coordination and scheduling
  • Assist with onboarding and coordination of details for new employees to the department
  • Prepare/Submit work orders and service tickets for IT, maintenance, moving, and access management and track progress
  • Complete forms in accordance with company procedures
  • Perform miscellaneous job-related duties as assigned
