About The Position

Labcorp is seeking an Administrative Assistant II to join their team for coverage of Kansas, Denver, and Phoenix. This position is fully office based at their Phoenix Lab. The role involves coordinating multi-state travel logistics, conducting ad hoc reporting, developing presentations, managing confidential communications, and leading the planning and execution of executive meetings and events. The Administrative Assistant II will also serve as a liaison between divisional leadership, corporate teams, and external partners, coordinate employee engagement initiatives, and perform broad, varied, and often complex/confidential administrative support duties. This includes handling telephone calls, scheduling appointments, maintaining calendars, completing Expense Reports, composing correspondence, coordinating meetings and minutes, and performing general bookkeeping duties.

Requirements

  • High school diploma or equivalent
  • 1 year of experience in customer service
  • Advanced knowledge of computers and programs (e.g., Microsoft Office)
  • Ability to type 50 wpm
  • Strong attention to detail
  • Comfortable working under minimal supervision
  • Flexibility to work overtime as needed
  • Strong customer service skills, meticulousness, and ability to be persistent while maintaining tact
  • Strong English writing and communication skills
  • Ability to work in a fast-paced setting with many interruptions

Nice To Haves

  • Associate’s degree
  • 3 or more years of Administrative support experience in a corporate or healthcare environment
  • 2 or more years of experience using Microsoft Office
  • 2 or more years of experience supporting VP and/or General Manager leadership in a multi-state, geographically dispersed environment

Responsibilities

  • Coordinate multi-state travel logistics, ensuring policy compliance and cost efficiency
  • Conduct ad hoc reporting and operational tracking using Microsoft Excel
  • Develop and format client-facing and internal presentations using PowerPoint and Word functionality
  • Manage high-volume confidential communications and executive correspondence with discretion
  • Lead planning and execution of executive offsite meetings and onsite meetings, divisional strategy sessions and leadership events (venue sourcing, contracts, A/V, transportation, catering)
  • Serve as liaison between divisional leadership, corporate teams, and external partners
  • Coordinate employee engagement initiatives
  • Performs administrative support and related duties which are broad, varied, and often of a complex/confidential manner such as handling telephone calls, scheduling appointments, maintaining calendars, completing Expense Reports, composes/types correspondence, etc.
  • Coordinates and assists with various meetings/minutes (e.g. Management-Staff Meeting, Operations Meeting, etc.)
  • Supports department’s efforts on scheduling activities including client visits travel arrangements, scheduling meetings, maintaining calendars, agendas, etc.
  • Performs general bookkeeping duties, as required (e.g. coding invoices for payment)
  • Prepares client related correspondence for shipment
  • Handles disbursements and monthly reconciliation of the Purchase Card
  • Supports department’s efforts on scheduling activities as needed
  • Performs other related duties as assigned
