About The Position

The Administrative Assistant II provides advanced administrative and operational support to manufacturing and business operations teams, serving as a trusted partner in the execution of critical administrative processes and day-to-day business activities. This role is responsible for coordinating complex administrative functions, maintaining accurate records and documentation, supporting compliance-related activities, and facilitating effective communication across departments. The Administrative Assistant II exercises a high degree of professionalism, discretion, and independent judgment while managing sensitive and confidential information. In addition to performing advanced administrative responsibilities, this position serves as a knowledgeable resource for administrative processes, supports onboarding and training efforts, assists with process improvement initiatives, and provides guidance and coverage across administrative functions as needed. Requirements

  • High school diploma or equivalent required.
  • Minimum of 5 years of administrative experience in an operations environment.
  • Flexibility to work overtime as needed to support operational demands.
  • Proficiency in Microsoft Office; experience with JDE applications preferred.
  • Strong organizational and interpersonal skills, with keen attention to detail.
  • Excellent verbal and written communication skills, with the ability to interact effectively at all levels of management, both internally and externally.
  • Demonstrated ability to prioritize tasks and adapt to changing priorities.
  • Proven reliability and punctuality; ability to work effectively in a team environment while adhering to all safety regulations and operating procedures.

Nice To Haves

  • Experience in union environments, HR processes, regulatory reporting, or training coordination is strongly preferred.

Responsibilities

  • Coordinate and process union bids in accordance with labor agreements and internal procedures.
  • Serve as a liaison between departments, ensuring accurate documentation and timely approvals.
  • Facilitate onboarding processes for new employees.
  • Coordinate and track completion of new employee evaluations, maintain and ensure evaluation deadlines are met.
  • Prepare and maintain the Days Worked Report.
  • Provide administrative support in the coordination and management of union discipline processes.
  • Prepare, track, and maintain disciplinary documentation in accordance with labor agreements and organizational policies.
  • Assist in gathering, tracking, and organizing data required for regulatory compliance.
  • Identify, develop, and monitor improvements to administrative workflows, processes, and procedures to enhance efficiency, accuracy, and compliance.
  • Assist in onboarding and cross-training of administrative staff.
  • Assist in the development and maintenance of training materials, guides, and standard operating procedures.
  • Ensure consistent application of processes and best practices across the team.
  • Maintain full working knowledge of all Administrative Assistant I duties and responsibilities which include but are not limited to personnel schedules, employee timesheet processing, training scheduling and tracking.
  • Provide coverage for Administrative Assistant I positions during absences, vacancies, or high workload periods.

  • Hourly Pay Range Posted: $27.93 - $41.88 Actual compensation will be based on factors such as experience; skills, knowledge, and abilities; education; and other position-related factors.
