About The Position

The Administrative Assistant II is responsible for greeting and assisting visitors to the CASAS lobby and overseeing front desk operations. This is a full-time, twelve-month staff position within the College of Applied Studies & Academic Success. The role requires independent work, good judgment, and discretion. The individual will serve as the first point of contact for students, parents, faculty, and alumni, managing inquiries and providing excellent customer service. Responsibilities include managing check-ins, coordinating with university departments, handling phone calls and emails, analyzing front desk data, supervising student workers, and assisting with events. The position strictly adheres to university policies and fosters a team environment aligned with the university's mission.

Requirements

  • 2+ years' administrative experience.
  • Customer service skills.
  • Detail-oriented with strong communication skills.
  • Able to work collaboratively as a team member and cultivate positive working relationships.
  • Able to work well under pressure, independently manage multiple tasks and projects with competing priorities and deadlines.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Ability to effectively communicate both verbally and in writing.
  • Ability to understand, speak, and write English.
  • Possess public communication skills for professional representation.
  • Strong organizational skills.
  • Computer skills.
  • Ability to reason, analyze information and events, and apply judgment to solve problems.
  • Regularly required to hear and speak.
  • Regularly required to stand, walk, and climb stairs.
  • Handle materials, reach overhead, kneel or stoop.
  • Regularly lift 10 or fewer pounds.
  • Valid driver's license, acceptable DMV record, LU Driving Approval, and liability insurance (if driving is required).

Responsibilities

  • Greet visitors and interact positively and professionally with all who enter the office.
  • Manage Swiper check-in at the front desk.
  • Organize and facilitate collaboration and communication with other university departments.
  • Answer phone calls and respond to voicemails for CASAS’ main line, routing calls appropriately.
  • Monitor and provide timely responses to emails received in the CASAS inbox, forwarding as needed.
  • Review and analyze data and reports related to front desk operations, summarizing findings and providing recommendations.
  • Supervise multiple student workers, providing training, support, and feedback.
  • Oversee scheduling and hours of the student worker team.
  • Coordinate and moderate the CASAS Lobby Microsoft Teams group.
  • Assist with preparation and implementation of CASAS lobby events and tabling.
  • Perform other duties as assigned by the Director of Operations.
  • Strictly adhere to university policies and represent the University in an exemplary manner.
  • Work effectively as a team member, embracing and fostering the university's mission.
