About The Position

We are seeking a Region Administrative Assistant to serve as the primary operational support for our regional field office. In this role, you will manage daily office operations, support contract and financial workflows, coordinate safety programs, and serve as a welcoming point of contact for field foresters, regional leadership, landowners, and contractors. Requirements

  • High School Diploma or equivalent required
  • Two (2)+ years of administrative and office management experience, preferably in forestry, agriculture, construction, or heavy industrial sectors.
  • Excellent verbal and written communication skills.
  • Excellent organization and time management skills.
  • Engages in clear and professional communication with colleagues across all departments.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and travel/expense management software.
  • Tech-savvy with an ability to quickly learn forestry-specific land management databases, mapping/GIS tools and enterprise systems.
  • Excellent multitasking, planning, communication, and organizational skills required.
  • Strong diplomacy skills when interacting with local landowners, logging contractors, hunting leaseholders, and community members.
  • Strong commitment to Rayonier’s safety culture, high attention to detail, and the ability to work independently in a dynamic forestry office setting.
  • Ability to manage the office independently when the staff are off-site, demonstrating strong initiative, discretion, and sound judgment under minimal supervision.
  • Valid driver’s license and willingness to travel twice monthly to regional field offices as needed.

  • Performing repetitive motions involving wrist, hands and or fingers, such as typing, conducting phone calls and filing.
  • Utilizing fine motor skills to handle files, operate office machinery (printers, copiers), and organize documents with coordination.
  • Standing, bending and reaching to access and retrieve documents from cabinets or shelves.
  • Communicating with others to exchange information.
  • Occasionally lifting and carrying items such as moving files, equipment, or office supplies (often less than 15 pounds).
  • Moving throughout the office to collaborate with team members, attend meetings, and manage office resources.

Responsibilities

  • Serve as the primary point of contact for the regional office, greeting visitors, handling incoming communications, and managing phone lines with excellent customer service.
  • Oversee daily office inventory, order supplies, manage contractor billing/utility payments for facilities, and coordinate vendor maintenance and service agreements.
  • Organize regional meetings, training sessions, and leadership visits (catering, room setup, tech support). Book all travel accommodations and manage detailed itineraries.
  • Periodically travel to other regional offices or field sites to support peer audits, provide coverage, and align administrative standards.
  • Prepare, draft, and finalize formal reports, correspondence, and PowerPoint presentations from verbal direction, notes, or handwritten drafts.
  • Maintain physical and digital filing systems (land records, timber sales contracts, leases, forest certification) and assist forestry teams with regional GIS/mapping and field data record-keeping.
  • Work with contract specialists and accounting staff to coordinate timber harvesting contracts, silviculture purchase orders, and resource management documentation.
  • Prepare, audit, and submit monthly employee expense reports. Process accounts payable invoices, contractor payments, and purchase order receipts.
  • Assist regional leadership with annual budget tracking, monthly expense variance reports, vendor payment reconciliation, and harvest close-out documentation.
  • Maintain safety tracking tools, log incidents, and verify contractor safety documentation, insurance, and compliance prior to work execution.
  • Coordinate materials and tracking for monthly safety meetings and crew tailgate talks. Maintain inventory for Personal Protective Equipment (PPE) and field safety gear.
