About The Position

The Neighborhood & Human Services (NHS) Department is seeking an experienced, detail-oriented Administrative Assistant II to join the Business Services team in a 0.75 FTE (30 hours per week) position with a primary focus on payroll and timekeeping support (in Workday) for not only the NHS Department but Parks & Recreation and Arts, Culture & Library Services as well. This is an excellent opportunity for someone who understands that accurate payroll is about much more than the numbers – it is about making sure employees are paid correctly and on time, helping staff navigate timekeeping questions, catching discrepancies before they become problems and providing dependable support to three (3) busy and diverse departments. The ideal candidate will bring hands-on payroll and timekeeping experience, strong attention to detail and the ability to research and resolve discrepancies with accuracy and good judgement. Just as important, we are looking for someone who enjoys helping employees, communicates clearly and patiently and takes pride in being a person others can count on to get the details right.

Requirements

  • High school graduation or equivalency.
  • Minimum of two (2) years related experience with comparable responsibilities.
  • Valid AZ Driver’s License upon hire
  • Has direct experience processing payroll and/or employee timekeeping and understands the importance of getting it right.
  • Has strong Excel skills and experience working with Human Capital Management (HCM) or electronic timekeeping systems, especially Workday.
  • Can work through detailed information without losing sight of deadlines.
  • Enjoys helping employees in various locations and can explain processes in a clear, approachable way.
  • Is organized enough to manage recurring deadlines while still responding to the unexpected from day to day.

Responsibilities

  • Processing and reviewing payroll and timekeeping information for accuracy and completion every two weeks.
  • Auditing employee time entries and identifying discrepancies, irregularities or missing information.
  • Providing responsive and knowledge support to employees and supervisors with payroll and timekeeping questions, including questions about administrative and union regulations.
  • Running reports and reviewing data to identify issues requiring follow-up.
  • Handling employee and payroll information with appropriate confidentiality and discretion.
  • Create and maintain spreadsheets, reports, forms and other administrative documents.
  • Gather, compile and verify information for reports and special projects.
  • Assist with personnel and other administrative processes and documents.
  • Help employees navigate routine administrative processes and provide training or guidance when needed.
