About The Position

The Administrative Assistant II is responsible for overseeing the daily administrative operations of the office to ensure a productive, efficient, and professional work environment. This role manages office services, facilities, vendor relationships, supplies, budgets, workplace communications, and administrative support activities. Serves as a key point of contact for employees, visitors, and external partners while driving operational excellence and a positive employee experience.

Requirements

  • 5+ years of office administration, facilities management, or office management experience.
  • Experience managing vendors, budgets, and office operations.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication abilities.
  • Budget management and financial tracking experience.
  • Strong problem-solving and decision-making capabilities.
  • Customer-service orientation and relationship-building skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, Teams, Outlook, and office management systems.

Nice To Haves

  • Associate's or Bachelor's degree in Business Administration, Operations, Human Resources, or related field preferred.
  • Experience supporting executive leaders and cross-functional teams preferred.

Responsibilities

  • Manage day-to-day office operations and administrative functions.
  • Establish and maintain office procedures, workflows, and best practices.
  • Coordinate office maintenance, repairs, and facility improvements.
  • Ensure the office environment is safe, organized, and compliant with company policies.
  • Oversee workspace planning, office moves, and seating arrangements.
  • Manage relationships with building management, maintenance providers, and office vendors.
  • Coordinate services such as cleaning, security, mail distribution, catering, and office equipment maintenance.
  • Negotiate vendor contracts and monitor service quality.
  • Ensure timely resolution of facility-related issues.
  • Welcome and support visitors, clients, and new employees.
  • Coordinate employee onboarding logistics, including workspace setup and equipment requests.
  • Plan office events, recognition activities, and employee engagement initiatives.
  • Support internal communications and office announcements.
  • Provide administrative support to leadership teams as needed.
  • Coordinate meetings, conference room scheduling, and special events.
  • Maintain office records, contracts, and documentation.
  • Support travel arrangements and expense reporting processes.
