About The Position

The Prince George’s County Planning Department of The Maryland National-Capital Park and Planning Commission is seeking an Administrative Assistant II to join their planning team. The Department provides land use planning for the physical development of Prince George’s County, Maryland. This role requires a self-motivated individual with strong written and verbal communication skills, the ability to balance multiple requests and deadlines concurrently, keep pace with a varied work program, and work with a diverse staff. Exceptional time management skills and the ability to work well under pressure and within tight deadlines are essential. Requirements

  • High school diploma or a Certificate of General Educational Development (GED).
  • Two (2) years of progressively responsible experience in administrative support and clerical work or customer service that typically involves performance of a range of general office support functions.
  • An equivalent combination of education and experience may be substituted, which together total 2 years.
  • Strong written and verbal communication skills with keen attention to detail.
  • Excellent proofreading and editing skills.
  • Ability to establish and maintain cooperative working relationships with a large and diverse staff, and work effectively as part of a team or independently to complete work assignments.
  • Skill in organizing, assessing, and prioritizing multiple tasks, projects, and demands.
  • Intermediate knowledge of Microsoft Office software (Outlook, Word, PowerPoint, Excel) and Adobe Acrobat.
  • Experience with maintaining electronic databases and ability to quickly learn new computer programs (i.e. Kronos, FileNet, and planning-related programs).

Responsibilities

  • Provide administrative and clerical support to staff in the division.
  • Schedule meetings.
  • Compose and mail a variety of forms and correspondence.
  • Proofread and produce final, error-free copy adhering to the Department’s standardization manual.
  • Support management of the division’s communications systems, including processing incoming and outgoing mail and ensuring timely routing of materials.
  • Coordinate and use e-mail and other e-communication mechanisms to transmit information to staff in the division in a timely manner.
  • Maintain division files for timely responses to formal communications.
  • Maintain office filing system and databases.
  • Enter and update information.
  • Search files and other information sources to answer questions or assemble data for supervisor or other staff, including file management, conversion, uploading, and revising copy according to department procedures and deadlines.
  • Maintain and reconcile financial reports and records.
  • Prepare accounting data for processing.
  • Review timecard information and resolve discrepancies.
  • Other duties may be required and assigned by the supervisor.
