It helps users understand their metabolic health by tracking glucose in real time and providing actionable insights and coaching. Lingo is expanding with new sensors and nutritional coaching features. This specific role provides executive-level administrative support to the Divisional Vice President of Lingo Biowearables in Alameda, California, acting as a key point of contact and an ambassador for the executive and team.

Requirements

  • College degree preferred; high school diploma or equivalent required.
  • 7+ years of previous executive administrative experience or equivalent.
  • Ability to operate with little instruction and minimal supervision.
  • Excellent interpersonal and decorum skills with the capacity to engage with a broad range of employees, customers, and government officials.
  • Track record of managing highly confidential information.
  • Strong capacity to manage workflow & timelines, schedule management, and priority setting.
  • Advanced knowledge of Microsoft Office Suite, Adobe Acrobat, and Outlook.
  • AI proficiency.

Responsibilities

  • Provide executive-level administrative support to the Divisional VP and office operations with professionalism, discretion, and responsiveness.
  • Manage complex calendars, prioritize appointments, act as a gatekeeper for time requests, and resolve scheduling conflicts.
  • Schedule meetings with internal and external stakeholders, potentially managing the executive inbox and ghostwriting.
  • Coordinate leadership meetings end-to-end, including scheduling, agendas, material compilation, note-taking, action item capture, and follow-ups.
  • Provide task and project management support, working cross-functionally to ensure priorities progress and projects are completed.
  • Support hiring efforts by coordinating interview schedules and logistics for candidates and interviewers.
  • Assist with tracking budget expenditures and maintaining organized records as needed.
  • Create and coordinate board and leadership presentations and materials.
