About The Position

The Administrative Assistant II provides administrative support to assist the Center for Advanced Detector Technologies and faculty in achieving center goals. May include one or more of the following duties: assisting in daily office operation of the Physics department, assisting with budget preparation, drafting correspondence, processing documents for personnel matters, etc.

Requirements

  • High school diploma
  • Four (4) years of experience providing secretarial or administrative support in increasingly demanding positions.
  • An equivalent mix of education and relevant experience in similar roles may also be accepted.

Nice To Haves

  • Bachelor’s degree in communication, General Studies, Business, or Accounting.
  • Experience with budgets.
  • Experience with processing financial transactions.
  • Experience with PeopleSoft.
  • Experience with University of Texas at Arlington policies and procedures.

Responsibilities

  • Performs a variety of administrative duties for CADT and faculty.
  • Serves as a liaison in dealings with internal and external clients.
  • Answers questions and resolves problems regarding the center.
  • Ensures compliance with internal and external policies and procedures.
  • Reviews and approves financial transactions including purchase orders, vouchers, deposits, transfer of funds and pro card transactions.
  • Perform monthly reconcilement of pro cards, cost centers, grants.
  • Coordinates travel arrangements and prepares expense vouchers and expense reimbursement.
  • May process and maintain various personnel records, including assisting with processing visas for international hires. (e.g., appointments, change of status, leave requests, terminations, etc.).
  • May act as departmental timekeeper.
  • Assist with meeting logistics including room scheduling, ordering of supplies, food, arranging for accommodations such as chairs, tables, marker boards, AV equipment, etc.
  • May direct the work of other clerical staff by assigning duties.
  • Work collaboratively on projects and assist as needed with the Physics Department.
  • Coordinate student appointments and tuition disbursements with Physics Coordinator II, Special Programs.
  • Performs other duties assigned.
