About The Position

The Alabama Institute for Deaf and Blind (AIDB) is seeking an Administrative Assistant II for the Talladega Regional Center. This role provides critical support to the Director, overseeing payroll, accounting, travel coordination, data collection, reporting, and activity planning. AIDB is a comprehensive education, rehabilitation, and service program for individuals of all ages who are Deaf, Blind, DeafBlind, and multi-disabled and their families.

Requirements

  • High School Diploma or equivalent
  • Two (2) years of professional experience in an office setting
  • Ability to meet suitability criteria for employment
  • Working knowledge of computers and software programs, including Google Workspace (Calendar, Sheets, Docs, Drive, Gmail) and Microsoft Office (Word, Excel).

Nice To Haves

  • One (1) year or more of experience working with individuals with disabilities.
  • Sign Language Proficiency rating of SURVIVAL.
  • Previous experience working with individuals with sensory impairments is highly preferred.
  • Ability to obtain a SURVIVAL language proficiency within 24 months of hire.
  • Ability to work a flexible schedule as required.

Responsibilities

  • Maintain confidential referrals and records while adhering to established timelines, compliance procedures, and document retention guidelines.
  • Organize and maintain files, keeping active and inactive files current and purging files according to guidelines.
  • Monitor timelines, required documentation, evaluations, and file completion for prospective students and service requests.
  • Create, maintain, and update databases, spreadsheets, and departmental records related to referrals, client information, and reporting.
  • Prepare reports and assist the Director with data collection, statutory reporting requirements, and special projects.
  • Assist with scheduling and coordinating visits and tours.
  • Coordinate logistics for activities, meetings, and other programs.
  • Provide support to the regional center staff and Director by performing office support work and assigned duties.
  • Serve as the primary receptionist, greeting visitors and clients professionally and directing them appropriately.
  • Answer telephone calls with courtesy, professionalism, and enthusiasm, efficiently routing communications.
  • Deal with the public in a pleasant and effective manner, handling multiple tasks, calls, and interruptions with tact and diplomacy.
  • Provide general administrative support, including filing, drafting correspondence, copying, and managing documents.
  • Assist with calendar management, meeting coordination, and scheduling.
  • Assist with requisitions, invoices, payroll documentation, travel arrangements, and other financial paperwork.
