About The Position

The Department of Business and Professional Regulation (DBPR) is the agency charged with licensing and regulating State of Florida businesses and professionals. The Division of Condominiums, Timeshares and Mobile Homes is seeking an Administrative Assistant II to perform administrative functions within the Director's Office. This role is part of the administrative assistant team and is responsible for various administrative tasks to support the division's operations.

Requirements

  • Two (2) years of relevant experience in customer service and administrative functions.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively to members within and outside of the organization.
  • Good writing and reading comprehension.
  • Customer service oriented.
  • Good with time management and coordination.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to prepare correspondence and administrative reports.
  • Proficient in the use of technology including software, hardware, and data systems.
  • Knowledge and the ability to apply Florida Statutes, rules and procedures for licensing of professionals.

Responsibilities

  • Answering telephones and routing calls to the appropriate staff members.
  • Serving as telephone backup for the Bureau of Compliance main telephone line.
  • Scheduling appointments.
  • Organizing, filing and maintaining paper as well as electronic files.
  • Interfacing with the public and providing pertinent information to callers.
  • Compiling and maintaining various reports and records for the FEA and IS supervisors.
  • Reviewing consumer complaints routed in the Department's Document Imaging System.
  • Opening compliance cases in the Department's Licensing System.
  • Assigning complaints to the appropriate staff members.
  • Providing general information to the public as a result of telephone, written and in-person inquiries.
  • Assisting with hiring packages for new staff members, including scheduling interviews and work samples, collecting documents, compiling information, and forwarding documents to the Division HR Liaison.
  • Arranging travel schedules and reservations.
  • Maintaining calendars and coordinating meetings for the Deputy Bureau Chief.
  • Performing other related work duties as required.
