About The Position

DHL Supply Chain is seeking a detail-oriented Administrative Assistant II to provide essential support for their weekend shift operation. This role is critical for maintaining accurate records and enhancing associate engagement. The position involves entering and maintaining data in the Smart Time Kronos system, processing weekly payroll records, and meeting with associates to discuss and resolve payroll issues. Additionally, the assistant will help facilitate employee engagement events and conduct orientation sessions for new hires, familiarizing them with company policies and culture. The role reports under the general supervision of the General Manager and provides personal secretarial services and administrative assistance, exercising discretion and judgment while providing courteous, responsive, and accurate information to associates.

Requirements

  • At least 6 months of experience in an administrative role, specifically reviewing JDA system and monitoring productivity.
  • Two years related experience.
  • High School Diploma or Equivalent

Responsibilities

  • Enter and maintain data in the Smart Time Kronos system.
  • Process weekly payroll records.
  • Meet with associates to discuss and resolve payroll issues.
  • Assist in facilitating employee engagement events.
  • Conduct orientation sessions for new hires, familiarizing them with company policies and culture.
  • Screen telephone calls and visitors, deciding who can be redirected to subordinate managers or to other offices.
  • Provide information to callers, requiring detailed knowledge of the manager’s area of responsibility and general knowledge of company policies, practices and operations.
  • Perform confidential administrative functions where reports could have an effect on cost.
  • Maintain departmental records and prepare reports.
  • Schedule meetings and appointments and arrange travel and hotel accommodations as necessary.
  • Open and review all mail directed to management staff.
  • Compose responses to routine inquiries, and decide which items can be delegated to subordinate managers, and forward the appropriate items.
  • Follow up on all assignments delegated to subordinate managers as to status, completion, etc.
  • Maintain administrative filing system including items that are confidential.
  • Serve as central communication point for associates.
  • Operate office equipment including fax, copier, printer, and binding machines.
  • Perform additional duties as assigned.
