About The Position

The New Mexico State University's Agricultural Experimental Station is seeking a dependable and organized Administrative Assistant II to provide administrative and operational support for the Agricultural Science Center in Farmington. This position will assist with day-to-day office operations, purchasing, financial and personnel processes, recordkeeping, correspondence, scheduling, and customer service. The Administrative Assistant II will serve as the primary liaison for Ag Science Center Farmington with the AES Director’s Office on basic administrative and/or operational matters. The position will work closely with the ASC Farmington Research Coordinator and ASC Farmington Farm Manager to ensure all operations are running smoothly, and all questions and concerns are addressed and resolved.

Requirements

  • High School diploma + 1 years of relevant experience, or higher degree.

Responsibilities

  • Serve as the primary liaison for Ag Science Center Farmington with AES Director’s Office on basic administrative and/or operational matters.
  • Work closely with ASC Farmington Research Coordinator and ASC Farmington Farm Manager to ensure all operations are running smoothly, and all questions and concerns are addressed and resolved.
  • Perform basic, routine bookkeeping functions, which may involve simple billing and cash receipt activities, providing budget reports for faculty members, reconciliation of expenditures, and maintenance of purchasing contracts.
  • Perform a range of staff and/or operational support activities such as initiating the process of hiring students, temporary/seasonal employees, and preparing requests to fill permanent job vacancies within the center.
  • Arrange meetings and conferences, schedule interviews, and appointments, and perform other duties related to maintaining one or more individual schedules.
  • Make travel and lodging arrangements for faculty, staff, students, and visiting individuals such as potential candidates, speakers, and presenters.
  • Assist with event planning and preparation for community outreach events, NMSU events, and/or center tours.
  • Maintain, establish, and update files, records, and other documents such as employee records, inventory records, and vehicle records.
  • Operate various computer systems to enter data, draft, edit, revise, and print letters, tables, reports, and other materials.
  • Accept, screen and route telephone calls.
  • Prepare responses to routine email inquiries.
  • Order, stock, and distribute office supplies.
  • Sort, screen, and distribute incoming and outgoing mail.
  • Greet and direct visitors.
  • May instruct and oversee the activities of student employees performing the same type of work.
  • Perform miscellaneous job-related duties as assigned.
