About The Position

The Debbie and Jerry Ivy College of Business at Iowa State University is seeking an Administrative Assistant II to support the Departments of Information Systems & Business Analytics and Marketing. This position is ideal for a highly organized, proactive professional who thrives in a fast-paced, customer-focused environment. Reporting to two Department Chairs, the Administrative Assistant II provides executive-level administrative support and helps ensure the efficient day-to-day operations of both departments. The successful candidate will serve as the primary point of contact for faculty, staff, students, alumni, and external partners, delivering exceptional customer service while managing multiple priorities with professionalism and discretion. The ideal candidate will possess strong organizational, communication, and interpersonal skills, a service-oriented mindset, and proficiency with Microsoft Office applications, particularly Excel, Outlook, and Word. Experience with Workday or similar enterprise systems is preferred, along with the ability to quickly learn new technologies.

Requirements

  • High school diploma or equivalent
  • 3 years of related experience
  • Proficiency with Microsoft Office applications, particularly Excel, Outlook, and Word
  • Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship.

Responsibilities

  • Served as the primary administrative liaison for department leadership, coordinating operations, communications, and strategic initiatives.
  • Managed calendars, meetings, and departmental events, including symposiums, advisory council meetings, and faculty meetings.
  • Prepared reports and analyzed enrollment and course data to support departmental planning, budgeting, and decision-making.
  • Provided guidance on university policies, budgets, HR matters, and administrative procedures to department leadership.
  • Coordinated faculty recruitment, search processes, promotion and tenure activities, and maintained confidential personnel records.
  • Oversaw hiring and supervision of student employees and tracked faculty and staff leave.
  • Developed departmental communications, newsletters, website content, and correspondence for internal and external stakeholders.
  • Served as the first point of contact for faculty, students, visitors, and campus partners, delivering professional customer service.
  • Collaborated across departments to support academic programs, organizational goals, and continuous process improvement.
