About The Position

The Administrative Assistant II provides a wide variety of clerical, administrative and staff support services to assigned departments(s) or functions.

Requirements

  • High School Diploma or GED Certificate.
  • Associate's Degree in Business, Communications or equivalent work experience.
  • Three years of administrative support experience.
  • Intermediate computer proficiency utilizing Microsoft applications, email, and Internet.
  • Native American hiring preference applies.
  • Organizational Awareness: Having and using knowledge of systems, situations, procedures, and culture inside the organization to identify potential problems and opportunities; perceiving the impact and the implications of decisions on other components of the organization.
  • Computer Literacy: Using computers effectively and efficiently in the working environment.
  • Planning and Organizing: Setting priorities and defining actions, time, and resources needed to achieve predefined goals.
  • Oral Communication: Shaping and expressing ideas and information in an effective manner.
  • Written Communication: Expressing ideas and opinions clearly in properly structured, well organized, and grammatically correct reports or documents; utilizing language and terminology that is understandable for the reader.

Responsibilities

  • Answers and transfers calls, takes phone messages when necessary.
  • Maintains organizational and filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates schedules travel, meetings, and appointments at the supervisor's request.
  • Prepares schedules and agendas for meetings.
  • Performs data entry and electronic filing tasks for accounts payable, purchase orders, equipment inventory, and confidential employee or department files.
  • Upholds a work environment that promotes teamwork, partnership, recognition, mutual respect, and collaboration, while role modeling the company values, behaviors, and culture of One.Team.Chumash.
  • Performs other duties as assigned.
