About The Position

ChristianaCare is seeking a full-time Administrative Assistant II to provide direct secretarial and daily office management support for Accreditation and Patient Safety teams. The ideal candidate will be well organized, detail oriented and multitask, completing tasks and duties within a prescribed timeline. This role requires proficient computer skills along with strong verbal and written communication abilities.

Requirements

  • High school diploma or equivalent.
  • Four years progressively responsible administrative support to an administrator or manager.
  • An equivalent combination of education and experience may be substituted but must include at least two years of appropriate experience.
  • Knowledge of appropriate departmental and hospital standards, policies, and procedures.
  • Knowledge of clerical functions specific to the department.
  • Proficient in Microsoft Office products – Word, Excel, PowerPoint, Outlook
  • Ability to prioritize workload independently, working within established procedures or protocols.
  • Ability to make decisions exercising independent judgment in all job-related activities.
  • Ability to work constructively with all members of the health care team.
  • Ability to prioritize crisis calls, notifying appropriate manager immediately.
  • Ability to maintain patient and employee confidentiality.
  • Ability to locate, use, and maintain appropriate reference manuals.
  • Ability to operate departmental computer system and other equipment in an accurate and safe manner.
  • Ability to perform all appropriate psychomotor skills.
  • Ability to function with an awareness and application of safety policies.
  • Ability to communicate effectively utilizing verbal and written skills.
  • Ability to type accurately at 60 wpm.
  • Skill in oral and written communications.

Responsibilities

  • Preparing and typing documents, reports, forms, policy and procedures, job descriptions, educational materials, and related documents necessary to support departmental activities.
  • Develops and designs worksheets/forms, graphs, and charts.
  • Handles scheduling for departmental meetings or other meetings as assigned.
  • Manages department calls and messages.
  • Attend meetings, transcribes, prepares meeting agenda, minutes, and distributes with attachments (as applicable).
  • Supports resource room during Joint Commission, and State/CMS surveys.
  • Completes special projects/assignments as required.
  • Maintains thorough knowledge of computer software (Adobe, Microsoft Teams, Windows, Outlook, Word, Excel, PowerPoint, Visio, etc.).
  • Prepares and processes purchase orders, travel and check requests, requisitions supplies and other material resources.
  • Maintains supply inventory as needed.
  • Performs copying, filing, and distribution of memos and publications as well as departmental subscriptions and journals.
  • Provides office support through daily distribution of inter-office mail, initiating work orders and maintaining office supplies, faxing, routing phone messages and paging as requested.
  • Always maintain confidentiality.
  • Performs other related duties as required.
