About The Position

Sentara Martha Jefferson Hospital is hiring an Administrative Assistant II for its Senior Leadership Operations team. This is a full-time, day shift position located in Charlottesville, VA. The role involves optimizing the time and performance of senior managers or departments by handling correspondence, managing calendars, organizing meetings, preparing documents, and controlling access. This position may involve confidential information and requires collaboration with department leadership to provide consultation and education on policies, procedures, initiatives, and programs. The Administrative Assistant II will also participate in the planning and implementation of department programs, design and prepare reports, and create presentations using Microsoft Office applications, report writers, databases, or proprietary systems. This specific role will support the Director of Finance, Chief Nursing Officer, and Chief Medical Officer, handling scheduling, board minutes, operational reporting, and presentation slides for leadership and boards. The ideal candidate will be highly organized, task-oriented, able to manage multiple priorities, recognize urgent items, and meet deadlines.

Requirements

  • High school diploma required
  • 3 years of administrative experience required
  • MS Office experience including Excel with V lookup and pivot table capabilities required
  • Ability to prioritize and multi-task - required

Nice To Haves

  • Associates or Bachelor degree preferred
  • Background in Finance or Accounting highly preferred
  • Experience supporting Senior Leadership and external boards highly preferred

Responsibilities

  • Perform a variety of administrative tasks to optimize the time and performance of a manager or employees of a department.
  • Act as a first point of contact, dealing with correspondence and phone calls.
  • Manage diaries, organize meetings and appointments.
  • Prepare documents or reports.
  • Control access to the manager or the department.
  • Deal with confidential information.
  • Work alongside department leadership to provide consultation and education to division leaders and staff regarding policies, procedures, initiatives, and programs related to the department's function and areas of responsibility.
  • Participate in planning and implementation of department initiated programs, including support for ongoing monitoring.
  • Design and prepare moderate to complex reports and create presentations in support of department operations or special projects utilizing available business tools such as Microsoft Office applications, report writers, databases, or proprietary and/or commercial information systems.
  • Support the Director of Finance, Chief Nursing Officer and Chief Medical Officer.
  • Handle scheduling and calendaring for the finance function.
  • Manage Board minutes and preparation for three Boards.
  • Provide operational deliverables for routine daily/weekly/monthly reporting (excel) and presentation slides for leadership and Boards.
