About The Position

The Administrative Assistant II to the Dean of Admissions, Advising & Retention provides administrative support, manages departmental budgets, correspondence, and scheduling. This position also interacts with students and the general public by providing general information. Requirements

  • High School diploma or equivalent
  • Two years of clerical and general office experience
  • Strong organizational skills
  • Excellent interpersonal and social skills
  • Knowledge of general office equipment including copier, fax machine, and multi-line telephone
  • Computer literacy to include proficiency with Microsoft Word and Excel, creating spreadsheets, and data processing

Nice To Haves

  • Associate Degree or equivalent (60 college credit hours)

Responsibilities

  • Provide primary reception services to the Pathways Advising, Dual Credit, and Admissions Department and administrative support for the Dean of Outreach & Advising
  • Assist the Dean with activities and correspondence as requested
  • Process purchase orders and payments for the department
  • Maintain inventory and order office supplies
  • Responsible for annual inventory of department office equipment, furniture, etc.
  • Perform general secretarial duties such as filing, copying, running errands, typing, imaging, and data entry
  • Complete work orders for IT and maintenance, as needed
  • Mail distribution
  • Schedule appointments, set up travel arrangements and accommodations for office staff
  • Create personnel status forms and coordinate payroll activities, including timesheets, leave sheets, and transmittals
  • With the Dean, manages the departmental budget and maintains appropriate records
  • Fields and responds to telephone inquiries and messages
  • Facilitates student requests and answers on-site inquiries
  • Other duties as assigned
