About The Position

This position involves performing a variety of administrative and clerical tasks to support the division. Key responsibilities include managing reception duties, operating and maintaining office equipment, managing office supplies, providing support to the Administrative Director and College Advisors, and communicating effectively with department and college personnel. The role also emphasizes promoting a culture of belonging and supporting the college's policies on access and equal opportunities.

Requirements

  • High School Diploma or GED
  • Minimum of two (2) years of professional administrative/clerical work experience, or one (1) year of office experience plus one (1) year of related training.

Responsibilities

  • Perform reception duties including greeting and directing visitors, operating telephone equipment, and distributing messages.
  • Operate and maintain office equipment such as personal computers, multi-line telephones, copy machines, fax machines, scanners, and calculators.
  • Manage office supplies by inventorying, ordering, receiving, and distributing them as needed.
  • Maintain organization, expediency, quality control, and workflow for assigned duties.
  • Provide support for the Administrative Director and College Advisors.
  • Maintain teamwork to ensure an efficient workflow within the division.
  • Assist students with making advising appointments or contacting College Advisors, faculty, or other college personnel.
  • Prepare, copy, file, and distribute various documents including letters, memos, minutes, proposals, evaluations, and reports.
  • Communicate with the supervisor in a timely, factual, clear, concise, and meaningful manner.
  • Support and promote an environment of belonging where all students, faculty members, and college employees feel welcomed, valued, and empowered.
  • Foster a community where individual perspectives enrich the educational experience and create a safe and respectful environment.
