About The Position

The Administrative Assistant I is located in the Clinical and Translational Science Institute (CTSI) Clinical Research Center (CRC), which is the intellectual home for clinical and translational research and training at UF. This position reports to the CRC Nurse Manager. This position supports the general administrative functions of the CRC to include reception, scheduling, linen supply inventory and maintenance, handling meal orders for participants, maintaining and ordering of nutrition room drinks and snacks, metabolic kitchen assistance as needed, procuring diet supplies for specific studies, study specific UPS and FedEx support, and providing routine office support. Given the public nature of this position and the executive leadership it supports, the greatest degree of professionalism and discretion is required at all times.

Requirements

  • High school diploma or equivalent and one year of relevant experience or an equivalent combination of education and experience.
  • Basic computer skills, navigation of programs utilized by the UF CRC.
  • Experience using internet search engines to research and gather information.
  • Outstanding service mentality. Must be responsive to the needs of the CTSI/CRC – its investigators and staff and be oriented towards service.
  • Must enjoy interacting with dozens of people, throughout the day, with constant interruption to ongoing projects and tasks.
  • Keeps current on changing work expectations, technical developments, and success criteria.
  • Strong organizational skills allow for high productivity and reliability, which are essential for success in this position.
  • The employee must have the ability to use his/her time, energy and resources in an effective way.
  • Accuracy, attention to detail and a customer service-oriented attitude are essential in this position.

Responsibilities

  • Serves as a public contact for the CRC and the Clinical Translational Research Building (CTRB)and answers inquiries by telephone, email, Microsoft Teams, and in person.
  • Providing an excellent and dedicated customer experience with Research Participants, Study Coordinators, Research Investigators, and CRC staff.
  • Provides parking passes for Research Participants and guides them to dedicated participant parking.
  • Check in participants upon arrival and notify the Study Team and CRC Nurses utilizing Microsoft Teams.
  • Supply order and management to include, but not limited to, linens, participant meals and snacks, office supplies, pharmacy and lab requests.
  • Provide dietary support for the metabolic kitchen obtaining study-specific meals.
  • Facilitates mail and shipping arrival notifications.
  • Tracks participant time in and time out and records data within the Web-based Center Administrative Management Program (WebCAMP); verifying accuracy and responding to inquiries.
  • Providing an excellent and dedicated customer experience with CTRB staff and visitors.
  • Communicates information regarding routine policies for participants, fields visitor and participant inquiries, questions, and directs visitors to appropriate offices or facilities.
  • Supports CTRB-wide UPS and FedEx shipping.
