About The Position

The Student Involvement Center at Saint Louis University is seeking an Administrative Assistant to support its staff. This role is ideal for someone comfortable in a fast-paced, high-traffic office with significant student interaction. As a Jesuit institution, Saint Louis University emphasizes 'cura personalis' (care of the whole person) and 'serving for and with others.' The Administrative Assistant will be the front-line staff member, setting a welcoming and professional tone for the reception area, which serves up to 10 para/professional staff. This role involves delegating tasks to Student Involvement Ambassadors, supporting the daily operations of the center, and managing financial aspects of student organizations, including purchasing cards, procurement, online ordering, and deposits. The position also provides substantial support to programs and initiatives of other SIC staff and the Assistant Vice President (AVP) for Student Engagement, including booking travel and submitting expense reimbursements.

Requirements

  • Proficient computer skills and a willingness to learn new or unfamiliar software systems such as Workday, Concur, TravelPlex, 25Live, etc.
  • Familiarity and comfort with Microsoft Office products.
  • Eagerness to be in student-facing spaces and roles.
  • Relentless understanding of confidentiality as it relates to sensitive information and student records.
  • A strong commitment to diversity, equity, and inclusion.
  • An ability to prepare general reports, agendas, and publication materials.
  • A proven ability to deal with crisis and conflict, effectively work with staff members at various levels of development and knowledge, including student workers.
  • An ability to multitask in a fast-paced environment.
  • Knowledge of administrative procedures and research techniques
  • Must possess analytical and organizational skills, good judgment, and initiative
  • Considerable ability to evaluate information, perform analysis and prepare written and verbal recommendations
  • Ability to develop and maintain effective working relationships
  • Ability to operate a computer and use appropriate software applications and peripheral office equipment
  • The ability to easily communicate departmental procedures and policies
  • The ability to answer moderately complex questions
  • The ability to share information in a clear and concise manner and tailor the communication to the audience
  • High School diploma or the equivalent
  • One year of administrative experience

Responsibilities

  • Maintains department spreadsheets and assists with preparing financial and administrative reports
  • Answers and returns telephone calls and e-mails regarding questions and concerns of department/programs; communicates policies and procedures; responds to questions and resolves issues of general complexity
  • Coordinates and performs administrative services; makes arrangements for events and meetings; composes and types correspondence; distributes mail; makes travel arrangements; screens telephone calls; managing filing systems
  • Provides administrative support for the day-to-day operations of assigned area(s); prepares purchase requisitions; coordinates and monitors maintenance services; serves as liaison between departments, faculty, and staff
  • Handles or assists with confidential issues or sensitive records; provides technical support
  • Performs other duties as assigned
