About The Position

The Administrative Assistant I role performs various administrative functions assigned in accordance with the office procedures of the clinic. This position may involve answering telephones, bookkeeping, typing or word processing, office machine operation, and filing. The role also involves operating the front desk duties during peak hours or when primary staff is unavailable, sorting and organizing office records, assisting with new patient enrollments and insurance/billing reports, and potentially assisting with patient drug testing procedures. The position supports managers and employees through a variety of tasks related to organization and communication, handles confidential and time-sensitive material, and is familiar with various administrative concepts, practices, and procedures. Effective communication via phone and email is essential, ensuring accuracy, quality, and timeliness. Responsibilities also include attending meetings and taking minutes, potentially managing physician credentialing, directing and leading the work of others, managing and coordinating administrative programs and office activities, creating spreadsheets, managing databases, and preparing presentations, reports, and documents. The role includes answering telephones, taking messages, transferring calls, covering the reception desk when required, calendar management, scheduling appointments, updating calendars, and arranging staff meetings.

Requirements

  • High school diploma or equivalent required.

Responsibilities

  • Perform general administrative tasks assigned in accordance with the office procedures of the clinic.
  • May include a combination of answering telephones, billing, typing or word processing, office machine operation, and filing.
  • Operate the front desk duties during peak hours or when primary staff in unavailable.
  • Sort, organize and maintain office records.
  • Assist with new patient enrollments as necessary.
  • Assist with various insurance/billing reports as necessary.
  • May assist with patient drug testing procedures.
  • Perform other duties as assigned.
  • Support managers and employees through a variety of tasks related to organization and communication.
  • Responsible for confidential and time sensitive material.
  • Familiar with a variety of the field's concepts, practices and procedures.
  • Effectively communicate via phone and email ensuring that all duties are completed accurately, delivered with high quality and in a timely manner.
  • Attend meetings and take accurate minutes.
  • May responsible for accurate and timely physician credentialing.
  • May direct and lead the work of others.
  • May manage and coordinate administrative programs and office activities.
  • Create spreadsheets, manage databases and prepare presentations, reports and documents as needed.
  • Answer telephones and take messages or transfer calls.
  • May cover the reception desk when required.
  • Calendar management, schedule appointments, update calendars and arrange staff meetings.
  • Perform other functions and tasks as assigned.
