About The Position

Pennoni Associates is currently seeking a motivated Administrative Assistant for our Haddon Heights, NJ office who excels at managing multiple projects, supporting project teams, and being a key part of a collaborative, fast-paced environment. This in-office role is ideal for someone who is organized, proactive, and personable, with a strong sense of responsibility. This position can also sit in our Camden, NJ office.

Requirements

  • High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational skills with exceptional attention to detail and accuracy
  • Professional demeanor with the ability to communicate effectively with clients and agencies
  • Friendly, outgoing, energetic, and dependable
  • Comfortable working in a professional office environment

Responsibilities

  • Assisting with proposal and report writing
  • Proofreading, formatting, and editing professional documents
  • Requesting and tracking certificates of insurance
  • Planning, ordering, and setting up business lunches and office networking events
  • Scheduling meetings and coordinating calendars
  • Running blueprints and assembling application packages
  • Handling incoming and outgoing mail, UPS, and package deliveries
  • Maintaining inventory and ordering office supplies
  • Answering phones (infrequent) and greeting visitors at the suite door
  • Processing check requests and entering invoices
  • Supporting Project Managers and other administrative staff as needed
