Requirements

  • Knowledge of administrative principles and practices.
  • Knowledge of office procedures and practices.
  • Knowledge of the principles and techniques of effective communication.
  • Skilled in written and verbal communication.
  • Skilled in reading, interpreting, and communicating applicable rules, regulations, policies and procedures.
  • Ability to collect data relating to administrative functions such as human resources, purchasing or report writing.
  • Ability to prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Two years of administrative or clerical experience.
  • An associate's degree from an accredited college or university can substitute for the required experience.
  • Candidates must be United States (U.S.) citizens or lawfully authorized alien workers.

Responsibilities

  • Assist in inputting, tracking, and monitoring data into RWMS (Right of Way Management System) for acquisition agents.
  • Assist in warrant requests.
  • Audit and review acquisition and relocation invoices from consultants.
  • Assist in the filing system.
  • Transmit deeds and subordinations to the County Clerk’s offices.
  • Inputs data into RWMS pertaining to agreements and closing packages for acquisition agents.
  • Monitors and maintains a system that ensures parcels are closed with all information being entered into RWMS and forwards all original documents to file room for proper filing.
  • Ensures proper completion and mailing of owner 1099s.
  • Tracks and updates information in RWMS.
  • Coordinates with supervisors on changes, errors, and omissions not supplied by appraisal acquisition, relocation or property management personnel.
  • Assists in preparing warrant requests for payment of recording fees, land purchase agreements and relocation assistance payments.
  • Informs personnel of Order of Taking dates and deposit dates.
  • Audits and reviews acquisition and relocation invoices from consultants to provide accuracy in job numbers, work phases, object codes and federal and non-federal participating coding.
  • Assists in the implementation of the filing system in the District Office to include complete documentation pertaining to real and personal property transactions of the Department.
  • Maintains these records in the identifiable and accessible location available for inspection and copying by authorized individuals.
  • Provides assistance to District Right of Way personnel to ensure conformance with established procedure, regulations and policies of the Right of Way accounting and recordkeeping functions.
  • Recommends changes in policies and procedures of Records Management to Central Office.
  • Transmits deeds and subordinations to County Clerk’s Office for recording in Official Records.
  • Ensures that original executed and recorded documents are filed.
