ADMINISTRATIVE ASSISTANT I - ELECTIONS (Temporary Position)

About The Position

This is a temporary, part-time, non-union, non-benefit eligible position. Employment shall not exceed 67 working days in a calendar year. This position will work 10-40 hours per week from approximately the end of June 2026 through mid-August 2026, and/or from approximately mid-September 2026 through November 2026. Primary duties include processing absentee ballots, data entry, testing of voting equipment, and other clerical tasks. This is a nonpartisan position that requires strong customer service skills, attention to detail, and basic computer skills. Prior experience with County Auditor-Treasurer functions or election administration a plus. The employee has limited latitude for the exercise of independent judgment within the scope of established policies. Work is periodically checked for progress and conformance to established policies and requirements. Consequence of error could result in loss of time, money, and public trust. Work is performed under the general supervision of the Chief Financial Officer/Auditor-Treasurer and/or Elections Coordinator.

Requirements

  • State of Minnesota eligibility requirements to serve as an election judge.
  • Knowledge of Minnesota election processes, laws, policies, and procedures.
  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of data privacy practices and procedures, and ability to maintain confidential documents and information.
  • Skill in the use of computers for data entry and information gathering.
  • Ability to work without close supervision.
  • Ability to read a manual and apply its procedures to a work situation.
  • Ability to complete assigned work with accuracy and strong attention to detail.
  • Ability to understand, follow, and communicate oral and written instructions.
  • Ability to collect and organize data and convert to written reports.
  • Ability to maintain complex records and prepare reports from the same.
  • Ability to establish and maintain effective working relationships with co-workers, officials, and the public.
  • Regular and timely work attendance.

Responsibilities

  • Processes absentee ballots, voter registration applications, and other department documents.
  • Prepares and enters data into department software applications and the state voter registration system.
  • Performs department clerical tasks including preparation of outgoing mail, filing, and copying, scanning, and ordering supplies.
  • Performs testing of election equipment and records the results of tests.
  • Provides general and technical information in response to oral and written inquiries from the general public and government officials.
  • Assists the public with completion of forms, understanding laws and regulations, using the county website, and obtaining information.
  • Examines incoming documents, forms, and other materials for completeness and conformity with department requirements.
  • Receives and responds to department telephone inquiries and directs calls to other staff as appropriate.
  • Performs other related duties as assigned or needed.
